Setting Up Your Case Logs (Excel/Google sheets)

Set up your case logs as displayed, in this exact order.

  • Logged? — Leave blank for cases to be logged.

    • Important: After logging batches of cases, make sure to put a “Y” in the “Logged” column. This tells the tool to ignore that line in future case uploads, ensuring you do not log a case twice.

  • PGY — Your postgraduate year 1-5

  • Location — Use abbreviations for each clinical site.

  • Patient Type — e.g. Adult, Pediatric

  • Date — Date of the case

  • Attending — Three letter initials/abbreviation for each attending

  • CPT — CPT code for the procedure

Setting Up OrthoTrackr — First-Time Configuration

When you first visit the ABOS case submission page after activating your license, OrthoTrackr will launch a 3-step setup wizard to configure it for your residency program. This only runs once.

Step 1 — Clinical Sites You'll see a list of all clinical sites from your ABOS account. Next to each site, enter the abbreviation you use in your case log spreadsheet. If your program uses multiple abbreviations for the same site, enter them separated by commas (e.g. MUH,MLH,METG). Leave a site blank to skip it.

Step 2 — Attendings You'll see your full attending list pulled directly from ABOS. Enter the abbreviation you use for each attending in your case log. Use the search bar at the top to filter names quickly. Same rules apply — commas for multiple abbreviations, blank to skip.

Step 3 — Defaults Set your default patient type (Adult or Pediatric) and default PGY/resident year. These will be used automatically when a case row in your spreadsheet doesn't specify them.

Hit Save & Get Started and the toolbar will load at the bottom of the page.

Need to redo your setup? Go to Settings → Re-run Setup Wizard at any time.

UTHSC residents: Skip the wizard and use the Settings panel instead — paste the pre-configured mapping block directly into the site and attending text areas for a faster setup.

Note: As of current build 0.2.4, 4/22/26, OrthoTrackr is not set up to automate KSB skills assessments during submissions of multiple cases. If you would like to submit a KSB skills assessment, we recommend you submit it manually as an individual case.

Note: It is also not currently built to add multiple CPT codes for one case long entry. Each CPT code you would like to submit needs to be a new line in your excel/google sheets. If deciding between which CPT code to submit for a case, check your minimums on the ABOS site and choose the one that is most appropriate.

Logging your Cases

Step 1: Open your Excel case log and highlight all rows you want to log INCLUDING the blank “logged” box/column

Step 2: Press Ctrl+C to copy

Step 3: Navigate to your ABOS KSB page in Chrome — OrthoTrackr will load automatically

Step 4: Click "Load Rows" in the OrthoTrackr panel

Step 5: Press Ctrl+V to paste your copied rows

Step 6: Click "Fill" — OrthoTrackr will populate the form fields for your first case

Step 7: Toggle "Auto Run: ON"

Step 8: Click "Submit + Run" — the case will submit and the extension will automatically fill the next case

Step 9: Let Auto Run handle the rest.

Step 10: Type “Y” in all rows for cases you logged in your personal case logs. This ensures that the case will not be logged by the tool in the future. Note: this feature allows you to highlight large batches of rows, including already logged cases, without worrying about double logging cases.

Step 11 (optional): Use time saved to enjoy a bourbon. You deserve it.
